Guiding Principles The Nanoose Naturalists’ directors recognize that individuals have a right to privacy and that Nanoose Naturalists has a responsibility to handle personal information appropriately. Nanoose Naturalist directors and members will handle information in the manner of a reasonable person after due consideration for the sensitivity of the information involved and for each situation that may arise. Regulations 1) Nanoose Naturalists is a non-profit organization covered by the Personal Information Protection Act (PIPA) and as such is responsible for ensuring the appropriate handling of all personal information under its control or custody. Nanoose Naturalists has information management policies , practices and procedures to govern the collection, use and disclosure of personal information. 2) Nanoose Naturalists shall ensure that all those acting on behalf of the organization are aware of the organization’s responsibility in relation to PIPA. 3) All directors and members must follow Nanoose Naturalists policies, practices and procedures when dealing with personal information. 4) Nanoose Naturalists shall: a ) collect, use and disclose information for legitimate and reasonable purposes only, b ) limit the collection of information to that which a reasonable person would consider necessary to fulfill the purposes of the organization, c) share personal information with the federation of BC Naturalists (FBCN) to provide members of Nanoose Naturalists with access to programs and services of that organization ( i.e receive the FBCN newsletter and to provide liability insurance for Nanoose Naturalists). d ) recognize the individuals right to: I. know that information is being collected II know the purpose of the collection III upon request. See and correct personal information IV make a complaint regarding the handling of personal information e ) appoint a Privacy Officer with the specific responsibility to ensure that Nanoose Naturalists complies with PIPA f ) the Privacy Officer shall be the Director in charge of Membership. At any time that the privacy officer or any member shall want another person to deal with a matter, the board vice chairperson shall be the alternate Privacy Officer. g ) if an individual has a complaint about Nanoose Naturalists use of personal information or this policy, that person should submit the complaint in writing to the Privacy Officer who shall review the complaint in conjunction with the Board Chair and Vice Chair. The Privacy Officer shall submit a written reply to the complainant within 30 days of receipt of the complaint.
